Invoice capture & coding
Invoices collected from inboxes, portals and post scans, then entered with supplier, date, net, tax, gross, nominal code, department and cost centre.
Off Your Plate / Invoice, Accounts Payable & Expense Processing
Every supplier sends a different layout to a different address in a different format. Somebody has to read each one, code it, match it to the order, spot the duplicate and push it to the right approver. That somebody does not need to be you.
Invoices arrive in three inboxes and a portal. One gets paid twice, one sits unapproved until the supplier puts you on stop, and the VAT on a batch was never recovered because nobody kept the paperwork.
Every one of those is a process gap, not a competence gap. Consistent daily handling by one person who knows your coding rules removes nearly all of them.
Scope
Invoices collected from inboxes, portals and post scans, then entered with supplier, date, net, tax, gross, nominal code, department and cost centre.
Two-way and three-way matching against POs and delivery notes, with quantity and price variances flagged and evidenced rather than absorbed.
Repeat invoice numbers, near-duplicate amounts, wrong-entity billing and arithmetic errors caught before payment rather than found in an audit.
Invoices routed to the right approver, chased politely on a schedule, and escalated when they age past your threshold — so nothing sits in someone’s inbox for a fortnight.
Claims checked against your policy, receipts matched, mileage recalculated, non-compliant items queried, and approved claims prepared for the payroll or payment run.
Supplier statements reconciled against your ledger each month, missing invoices requested and credit notes chased down instead of written off.
What you get back
However small the job, the output is complete, checked and traceable — because a deliverable you have to re-check yourself has not actually saved you anything.
A 4-hour job therefore costs QC 40.00 — that is 40.00 US dollars, deducted from your wallet only after you have seen the work and approved it.
QCoins never expire, and they are one-way: they cannot be converted back into your own currency or withdrawn, only spent on QDesk services. How the wallet works.
Create a free accountPaying with QCoins
QCoins are prepaid credit pegged permanently at 1 QCoin to 1 US dollar. You top up, you hand the job over, and the wallet is charged only for the hours logged — after you accept the result.
Everything on this page carries a published hourly rate in QCoins. You see it before you commit to anything, and it is the same rate for everyone — no bidding, no haggling, no waiting three days for a quote.
Describe the job, attach your files, and post it. No QCoins are deducted. An Operations Manager picks it up from our own queue and confirms the approach with you before the real work starts.
Time goes on the order as it is spent. When the work is delivered you can see exactly how long it took before you decide anything at all.
On approval, hours logged multiplied by the hourly rate leaves your balance and is recorded against that order. Not before. Never more than that.
You have three days with it. Send it back with written feedback and the same manager keeps working — you pay for the hours the job genuinely takes, never a penalty for asking.
If three days pass with no word from you, the order does not wave itself through. It goes to a QC Expert — someone who did not do the work and cannot see who you are — who opens the delivery, checks it against your brief, and either confirms it was done properly or sends it back for rework at no charge. Only that confirmation releases the payment.
More on the wallet itself: what a QCoin is and how it is spent.

Frequently asked
No. We prepare, code, match and queue; the payment run is authorised and released by you. Separating preparation from authorisation is basic financial control and we will not blur it, even if asked.
Yes — Bill.com, Dext, Concur, Coupa and similar tools are where a lot of this work already lives. We handle the exceptions those tools throw out, which is usually the part that jams.
A check on supplier plus invoice number plus amount, plus a fuzzy check for near-matches that differ by a character or a penny — which is how the expensive ones usually slip through.
Yes, in writing and on a schedule you set: a reminder at three days, an escalation at seven, and a weekly ageing report to whoever owns the process. It works better than it sounds.
Yes. Currency, exchange rate at invoice date, and the correct legal entity are all captured, and inter-entity misbilling is one of the things we specifically look for.
